EXECUTIVE PA / SPECIAL OFFICER

 Job Responsibilities:

  • Managing projects by doing evaluation, forming action team, monitoring project progress by visiting project locations, arranging project meetings and producing effective reports from phase by phase until completion of the project
  • Carry out a broad variety of administrative tasks for President including managing an extremely active calendar of appointments, completing various reports and source material for meetings when necessary
  • Follow up and follow through on matters which require the President’s attention and action
  • Work closely and effectively with the President to keep him well informed of upcoming commitments and attention
  • Screen through and manage all incoming calls from external parties. Serve as President’s liaison in scheduling appointments and meetings with internal or external parties
  • Monitoring of deadlines and follow-ups with respective departmental heads on report submission
  • Organising and filing paper work, documents and computer based information
  • Maintain high degree of confidentiality at all times
  • Participate in ad hoc projects or assignments as and when necessary

 

Job Requirements:

  • Professional experience at least with 3 years as a  Personal Assistant to a senior management team with corporate office background and multi divisions business
  • Meticulous, exceptional follow-through of outstanding matters and able to multi-task and work independently
  • Resourceful, self-motivated, willing to take instructions and able to handle complex and confidential information with utmost discretion
  • Excellent command of written and spoken English and Bahasa Malaysia
  • Possess a positive, can-do attitude with a high level of integrity and able to work under high pressure and tight deadline
  • Strong organization, planning and communication skills
  • Proficient in MS office applications
  • Experience in retail industry/properties/corporate office environment is preferred
  • Must be able to work weekends and long hours when required
  • Highly mobilize around the globe at times when required
